AVA Receptionist / Getting started

Forward one line. Go live today.

AVA Receptionist needs no new hardware and no software for your staff to install. Once your call flow is configured, forwarding your practice number is the only change on your side.

What you'll need
  • Access to your phone carrier or phone system settings
  • Your office hours and on-call schedule
  • Common call reasons and escalation rules
  • Where action notes should be delivered
Your STATLINX onboarding contact will confirm your AVA forwarding number.
Practice setup

Three steps to your first answered call.

Most practices go from kickoff to live calls in a few hours. Your STATLINX onboarding contact works through each step with you.

01
Step 1

Share your call flow.

Tell us how your practice handles calls today: office hours, who is on call, the most common reasons patients call, and which calls must go to a person.

Calls that need a person, such as urgent clinical concerns, are transferred to a STATLINX operator. You decide the rules.
We'll ask about
  • Office hours, holidays, and on-call schedule
  • Top call reasons: scheduling, refills, billing, results
  • Urgent and emergency escalation paths
  • When to transfer to a human operator
  • Who receives action notes, and how
02
Step 2

Confirm your configuration.

STATLINX configures AVA with your greeting, call reasons, and transfer rules, then shares your dedicated AVA forwarding number. Review a test call before anything changes for patients.

Action notes summarize every call with the caller, the reason, and the next step for your team.
Before you go live
  • Your practice greeting and voice
  • Action note format and delivery
  • Human operator transfer rules
  • A test call to your AVA number
03
Step 3

Forward your number.

Set up call forwarding from your practice line to your AVA number. Choose to forward all calls, after-hours calls only, or calls you can't answer (busy or no answer).

Most carriers and phone systems support forwarding from the handset or an admin portal. Codes vary, so check with your carrier or IT team if you're unsure.
Common forwarding options
  • Forward all calls: send every call to AVA
  • Scheduled forwarding: send calls to AVA after hours
  • Busy / no-answer forwarding: AVA catches overflow
  • Place a test call from an outside line to confirm
